Since, my dental practice was extremely productive, I thought my Late-Cancel No-Shows percentage (LC/NS %) must be pretty good. Yet, when I started measuring it for my reward system, I found that wasn’t the case at all. My LC/NS% was 11%!!!!! I was stunned! It is recommended that all dental offices have a current copy of the CDT to assist with proper claim billing. While dental plans are required to recognize new and current CDT codes, they are not required to pay for or provide benefits for the new or revised codes. Dentists should review each dental plan’s payment and processing guidelines to determine whether benefits will be payable. Typically, plans will start sending updates about policy changes for the new year during the fourth quarter. Recently, I teamed with a non-profit organization which is run by Dr. Gunther Heyder here in Washington, DC. Last year, he started an organization called A Reason to Smile (ARTS) to bring dental relief and education to the people of Africa.

The ARTS project is a self-run clinic that brings all of its own materials, instruments, and some medications. It's mission is to provide direct care, education, and supplies so that we are advocating proper oral hygiene, oral health, and infection and disease control that can be maintained after our visits. The team we have here in the US consists of a wide variety of professionals, including dentists, dental staff, educators, lawyers, and other humanitarians. <br />

We are planning a trip to the Sitabalee village in Uganda in November of 2015. We will be joining forces with TASAAGA (<a href="http://www.tasaaga.org/">http://www.tasaaga.org/</a>) and using their facilities to bring dental care and education to these areas for 10 days. The success of the first trip to Senegal in March 2015 was very encouraging, and were excited to bring relief to another area of Africa. We hope to see about 1,000 patients in a refugee camp and the surrounding area, which is greatly affected by poverty and lack of access to healthcare.<br />

Wow! Last week's post regarding embezzlement produced an avalanche of responses and pleas for help. I figured I would follow up with a few posts outlining additional information which could assist with reducing the instances of embezzlement in the dental office.
One way a dental office could reduce theft in their practice is to implement better hiring standards. In particular, the dental industry as a whole does not routinely utilize background checks when hiring new team members. Hiring someone who is responsible for managing hundreds of thousands of dollars for your business without a background check is the equivalent to playing business roulette. Protect your practice!

In the last 3 months, our Dental Billing department has uncovered 3 separate instances of employee embezzlement. In the most recent case, the total loss (although numbers are still climbing as we conduct the investigation) has reached $20,000.00+. for a huddle. It’s during these huddles that a team makes a plan of
action or changes a previous plan based on how things are going during
the game. A dental team should be no different. Take the time each day
to huddle up: make plans, review how things went yesterday and
strategize for the remainder of the day and the coming month.<br />

Amy Morgan, CEO of Pride Institute, has said, “The morning huddle is
the only way a team can feel informed, focused, and productive. If you
want to deliver the very best service and care to your patients in the
most efficient manner, then you and your team have to plan for the day.

sessions. The report shows a quick snapshot of how the practice did the

Christensen titled “Protecting Your Dental Office From Embezzlement
& Fraud”. I mentioned many, but not nearly all, of the things you
as a dentist could do to prevent one of your employees from embezzling
your hard earned money.</span></div>

<span style="font-size: small;">This blog looks at some of the characteristics of the employee who
might be stealing right under your nose. Dr. Christensen mentions going
with your gut feeling. If you suspect someone is up to something
dishonest you may want to follow up on your suspicion.</span></div>

<span style="font-size: small;">Some of the more general identifying characteristics such as you, the
dentist, working as hard as ever and cash deposits that have declined
may be hard to differentiate as stealing or a drop off in business due
to the current economic climate. Others such as a large number of
adjustments showing up in your dental software merit close inspection.</span></div>

<span style="font-size: small;">As Dr. Christensen mentions, many of the characteristics that make a
good employee are some of the same characteristics that are the earmark
of the employee who’s taking you to the bank so to speak. Here are just
a few.</span></div>

<li><span style="font-size: small;">Employee wants additional hours</span></li>
<li><span style="font-size: small;">Employee wants to work alone and will not delegate tasks</span></li>
<li><span style="font-size: small;">Employee is very loyal</span></li>
<li><span style="font-size: small;">Employee resents your lifestyle or apparent income</span></li>
<li><span style="font-size: small;">Employee works late or comes in early</span></li>
<li><span style="font-size: small;">Employee takes work home</span></li>
<li><span style="font-size: small;">Employee refuses to take vacation</span></li>
<li><span style="font-size: small;">Employee with lots of discretionary income. Get suspicious if your
single employee making $25,000 per year is driving a brand new Mercedes
and has a five bedroom house with a pool and tennis court and does not
have a large trust fund.</span></li>
<li><span style="font-size: small;">Employee is a long-term employee. Why would they want to leave your dental practice since you are their personal ATM machine?</span></li>
<li><span style="font-size: small;">Employee does not want overtime</span></li>

<span style="font-size: small;">So what are you supposed to do now? Do you instantly start
suspecting each and every one of your employees of being a clandestine
thief? Of course not! However, armed with the information from this
and the previous accountadontist blog you should realize that you cannot
just be a passive observer in your dental practice. You need to get
involved in many of the business aspects of your dental practice that
you previously ignored. <strong><span style="text-decoration: underline;">YOUR</span></strong> money is at stake!</span></div>
